Executive Assistant

SUMMARY: Management Business Solutions is seeking an Executive Assistant for its client in Grand Rapids, MI. The person will be responsible for providing administrative support to the executive team. This role involves managing schedules, coordinating communications, and handling a variety of tasks to ensure smooth daily operations.
 
RESPONSIBILITIES:

  • Coordinate and manage the daily schedules, including organizing meetings, appointments, and calls for the executive team.
  • Act as a liaison for internal and external communications, ensuring messages are prioritized and addressed promptly.
  • Facilitate effective communication between executives and other departments to support collaboration.
  • Arrange and oversee travel plans, including booking transportation and accommodations, and preparing travel itineraries.
  • Draft, review, and organize documents, reports, and presentations for meetings and other business needs.
  • Track and process expense reports, manage invoices, and ensure accurate financial documentation.
  • Provide general administrative support, including handling correspondence, managing phone calls, and responding to various requests.
  • Maintain organized filing systems for easy access of important documents and records.
  • Support projects, events, and other business initiatives as directed.
  • Handle sensitive information with confidentiality and discretion.
 
QUALIFICATIONS:
  • Bachelor’s in Business Administration, Communications, or related field preferred.
  • 3+ years as an Executive Assistant or similar role supporting senior executives.
  • Proficient in Microsoft Office.
  • Strong organizational, time management, multitasking, and prioritization skills.
  • Excellent verbal and written communication.
  • Professional and flexible with changing priorities and schedules.
  • Project management or event coordination experience is a plus.
  • Proficiency in both Spanish and English is highly preferred.
