Job Description

The Accounting and Accounts Payable Coordinator is responsible for the management of all payables accounts.
  • Act as team lead for the Accounts Payable. This includes assisting with A/P coverage for vacations, sick days, etc.
  • Help with enforcement of the college’s expense policy through review of expenses within Emburse and payment requests
  • Assist with processing expense reports through Emburse
  • Obtain vendor IDs and addresses for all invoices and payment requests
  • Enter invoices and payment requests into Banner
  • Process the weekly AP check run
  • Distribute check reimbursements to college departments or U.S. mail
  • Process weekly account receivables check runs; manage refunds due from student accounts
  • Assist employees in a one on one setting on A/P related questions
  • Oversee journal entries, ensuring they are entered accurately and timely
  • Writing journal entries for various internal charges
  • Issue 1099’s for non-employee compensation and other miscellaneous payments
  • Assist with Trust, Annuity, Pooled Income Fund, and other Investment accounting
  • Manage purchasing-card system (order new cards, distribute monthly statements, and process fraudulent charges)
  • Manage invoice record retention
  • Other duties as assigned

Qualifications

  • High School Graduate, preferably Associate’s Degree in Accounting, Finance, Business, or other related field
  • Experience in accounts payable or other related field
  • Knowledge of invoice transactions and journal entries
  • Ability to meet deadlines
  • Strong attention to detail
  • Strong customer service attitude
  • Microsoft Office/Google Suite proficiency, in particular Excel/Google Sheets

Physical Demands

This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
