Job Description
The Human Resources Representative serves as a core member of the HR team as the first point of contact when people call or come into our office seeking assistance. Additionally, this person serves in several key functions for the overall support and success of the HR office. This is a part-time position that will work year round, but hours may vary throughout the year. While we seek someone who can typically be here part-time 4-5 days per week, the exact schedule and hours are slightly negotiable. Our office is open 8:00 am – 5:00 pm, Monday through Friday. (.49 FTE; approximately 20 hours/week)
Responsibilities:
- Provide a welcoming spirit and offer support to customers who walk-in or call our office for assistance
- Manage intake, organization and filing of I-9s, tax and direct deposit forms and other paperwork submitted to the office, including follow-up with new hires with missing documentation.
- Manage electronic record filing system within our Enterprise Resource Planning system (Banner Document management) – verifying employment records are scanned into the system and indexed appropriately in employment files.
- Manage job record creation of hourly temporary and seasonal hires (jobs portion)
- Monitor and provide professionally written responses for the HR@hope.edu email address during the hours worked in our office
- Provide general office support for events and/or meetings being scheduled, such as assistance with room reservations, scheduling meetings, office and/or orientation supply management, helping with administrative tasks in preparation for HR led events, submitting work orders, etc.
- Provide oversight of the file room, processing terminations, maintain general organization and cleanliness of the space, etc.
- Serve as the HR office manager, maintaining signage, office voicemail account, copier toner, mail, purchasing office supplies, etc.
- Process address and name changes in Banner, personnel files and benefit providers
- Organize annual file destruction and cleaning day
- Other miscellaneous duties as requested
Qualifications
- Strong communication skills, including professional email composition and verbal communication with customers
- Ability to apply a high degree of accuracy and attention to detail to all tasks
- Ability to maintain a high level of confidentiality and manage sensitive information
- Proficient in Microsoft Word and Excel, with ability to work with and learn additional technology (such as Banner)
- Ability to multi-task and work on multiple projects at once
- Ability to be self-motivated and able to work with no direct supervision
- Must have an understanding and support of the mission of Hope College
Physical Demands
This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
