Summary of Position: • Perform clerical and receptionist function to the University Eye Center clinic, ensuring efficient scheduling of services and processing of necessary paperwork. Works extensively with patients for check in, check out and service questions.
• The anticipated start date of this position is January 2025. However, this is an estimated date and can be revised if needed.
Position Type: Staff
Required Education: Associates Degree.

Equivalency for education is two years of full-time related work experience equals one year of education.

Additional Education/Experiences to be Considered: • Additional health care office work experience.
• Preferred experience in an optometry/ophthalmology practice. Coursework in healthcare strongly preferred.
Essential Duties/Responsibilities: • Exhibit excellent customer service skills with all stakeholders.
• Answer and direct phone calls professionally, with excellent telephone etiquette.
• Draft necessary letters, memos and forms for patient referrals, exam reports, and routine correspondence.
• Efficiently triage and schedule patient appointments.
• Process referrals and schedule related appointments.
• Demonstrates an understanding of diversity, equity, inclusion and belonging, especially in working relationships with students, faculty, staff, and community members.
• Support, promote, and develop university student enrollment and retention initiatives.
• Greet and assist incoming patients. Notify doctor and/or student clinician of patient arrival or cancellation.
• Instruct and assist both optometry students and student employees in clinical office procedures.
• Maintain a recall system, contacting patients for appropriate follow-up.
• Receive, open, and route incoming and outgoing correspondence (mail, fax, email, etc.).
• Ensure patient web registration is accurate and imported into the medical record.
• Accurately enter detailed patient information into the electronic health record.
• Review medical records for completeness and send notices to providers when indicated.
• Open and close office per procedure; responsible for securing clinic entry doors.
• Adhere to staff schedule which may require work outside of regular business hours to meet patient care needs.
• Collect fees, issue receipts, balance books and monies daily, prepare deposits, and maintain records of all transactions.
• Verify patient insurance eligibility for services and process appropriate paperwork when required.
• Maintain the confidentiality of designated information, including protected health information per HIPAA regulations and student information per FERPA.
• Report directly to the Clinical Operations Manager or as assigned.
• Carry out these responsibilities in accordance with university policies and applicable laws.
• Any other duties assigned within the position classification area.

Skills and Abilities: • Communicate effectively.
• Establish and maintain filing systems.
• Effectively use the electronic health record system and Microsoft office.
• Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
• Perform basic bookkeeping and mathematical operations with a high degree of accuracy.
• Perform basic recordkeeping and word processing functions on a computer.
