Job Description
Responsibilities include, but are not limited to:
- Be the main administrative support person for the office by acting as receptionist, maintaining calendars, scheduling, assisting with correspondence, processing accounts receivable & payable paperwork, ordering supplies, managing CMS email accounts, and other general clerical responsibilities.
- Maintain CMS websites with updates, new content, and online forms.
- Hire, train, and supervise student employees.
- Maintain CMS records including student documents, meeting minutes, assessment results, and tenure files.
- Support various CMS groups/initiatives such as the Studies in Ministry minor, Lilly Scholars, RCA Scholarships, Continuum Scholars & Faith and Scholarship programming.
- Build course schedules and classroom needs for faculty, help with registration for Ministry minor students.
- Assist with annual CMS awards and events.
- Manage the marketing efforts for the CMSs including social media, newsletters, and events.
- Maintain multiple CMS operation budgets – assigning accounting numbers
- Assist director(s) with multi-year grant budget proposals and subsequent annual reports.
- Prepare or assist in the preparation of all events to include room reservations/space rentals, catering (on and off campus), lodging/transportation reservations, and marketing across campus.
Qualifications
- High school diploma required, Bachelor’s degree preferred.
- Minimum 5 years of experience working in an office setting.
- Must have excellent English language skills; confident and able to represent CMS with impeccable spelling, grammar and punctuation.
- Relates well to a variety of students and colleagues with diverse cultural, ethnic, and religious backgrounds.
- Capable of independent work with minimal supervision.
- Must maintain a high degree of confidentiality.
- Strong computer and technology skills required including Microsoft Office (especially Excel), Canva, Google Workspace Apps, JotForm, MailChimp with ability to learn course management and website software.
- Ability to anticipate the needs of CMS and be proactive in meeting them.
