This position is responsible for supporting and maintaining the daily processing of admissions applications and related documentation. Under the general direction of the Admissions and Student Services Senior Functional Analyst, the individual will facilitate admissions processes by ensuring quality assurance, maintaining data integrity, and resolving errors. Responsibilities include processing admissions applications, patch testing, and implementing new procedures. The role also involves supporting RJF customer service and admissions staff in their use of the PeopleSoft Campus Wide Information System, Image Now, and the CRM, with a focus on improving the efficiency and accuracy of admissions operations.

ESSENTIAL FUNCTIONS

 

• Assist in researching, testing, and implementing new and modified functionalities of the Admissions CWIS (PeopleSoft PUMs).

• Identify and respond to potential fraudulent application activities, developing processes to address this growing threat to college operations.

• Responsible for daily application load.

• Assist with the maintenance and integrity of Image Now and CRM.

• Review and test processes for new academic years, ensuring necessary adjustments are made to accommodate upcoming semesters.

• Conduct regular audits to ensure the accuracy of setup through internal queries.

• Manage daily and weekly processes related to letter generation, emails, and term activation.

• Assist in maintenance and cleanup of admissions and application data.

• Ensure accurate processing of daily download of admissions data between GRCC and the CRM.

• Assist the Admissions Senior Functional Analyst with annual set up and maintenance of jobs & processes.

• Establish and monitor scheduled processes, including but not limited to matriculation, term activation, and assigning of service indicators.

• Assist the Admissions Senior Functional Analyst with external processes to accommodate external GRCC cohorts utilizing our services.

• Run ad hoc and regularly used queries to assist end users with data and processing needs.

• Support Admissions and RJF customer service staff by troubleshooting and resolving any issues that arise with technical processes.

• Assist with ensuring that GRCC is compliant with policies regarding admissions and enrollment both external and internal.

• Create and update student data reports, utilizing PS queries and other tools for data retrieval, analysis, and reporting.

• In coordination with the Admissions Senior Functional Analyst and IT, implement and maintain Oracle PeopleSoft 3Cs (Communications, Checklists, and Comments) for Admissions.

• Develop end-user process documentation and training materials in coordination with the Admissions Senior Functional Analyst. Train Admissions and RJF Services team members as needed.

• Provide support to the Admissions and RJF Services area during peak service times, including processing transcripts, test scores, and other relevant documentation.

• Facilitate communications amongst other staff/departments and the Student Services area.

• Participate and assist with behind-the-scenes support for enrollment events, such as Student Block Party, Fall/Spring Open House, etc.

• Attend professional development conferences, seminars, workshops, and webinars to stay abreast of current regulations, trends, and best practices in the student admissions profession.

• Actively support and participate in the Student Affairs mission.

• Assist the Executive Director of Enrollment Services and the Associate Director of RJF Services with special projects and other duties as assigned.

• Regular attendance during scheduled hours is required, as being present is essential for serving customers and fulfilling the functions of this position.

 

JOB SPECIFICATIONS

 

Education Credentials

 

• Bachelor's degree required.

 

Work Experience

 

• 1 to 2 years of relevant work experience required.

• Experience in higher education roles with demonstrated knowledge of admissions and student services preferred.
