The Associate Director (Operations & Grounds) is responsible for all campus custodial cleaning and operations, and supervises and leads four building managers and their portfolios comprising more than 25 buildings and 2.5 million square feet among four campuses, while also managing and leading the grounds maintenance department that is responsible for the upkeep of approximately 40 acres. Position works with third party vendors to maintain sophisticated equipment and systems such as elevator maintenance, security bollards, overhead doors, specialized custodial and grounds maintenance support, as well as the oversight of parking ramp cleaning services, comprising an area of 850,000 square feet. The Associate Director regularly interfaces with faculty, staff, students and visitors, and advocates for and ensures cleaning standards are met by the utilization of more efficient and sustainable processes, while providing excellent customer service. In addition, the Associate Director ensures staffing, supplies, room set-ups, special events, and execution of entryway and second-shift snow removal (after ground crews depart for the day), etc. are accomplished. The Associate Director will also assist the facilities department with certain projects by being the liaison between contractors and department leadership.

 

The Associate Director of Operations and Grounds is responsible for the day to day operations of all buildings and grounds across campus while providing training and support to a staff of approximately 68 people. Position works to ensure custodial and grounds departments are properly staffed and trained to provide an environment conducive to academic learning, success, and safety.

ESSENTIAL FUNCTIONS

 

• Monitor and evaluate operations' job performance including quality, attendance, and amiable interaction with co-workers, staff, faculty, students, visitors and facility customers

• Indirectly supervise, manage, monitor, and evaluate 3rd party vendors performance and value

• Lead and support building manager team in supervision and operations of all campus facilities

• Provides leadership, supervision and technical coordination to grounds personnel

• Develop, maintain and ensure cleaning standards are maintained and improved

• Coordination of all cleaning work with other operations building managers, their employees, and within their assigned buildings

• Accelerate research of, and advocacy for, sustainable cleaning methods and green products and other innovative cleaning solutions

• Oversee the proper care, maintenance, and security of all custodial, facilities and grounds and all college equipment and related assets, including lifecycle replacement of major cleaning, parking services, and grounds equipment

• Assess and develop training requirements for operations, grounds, parking services, and maintenance staff including personal development plans

• Manage special requests and customer service

• Assure timely completion of assigned tasks pertaining to the set-up, tear-down and after event cleaning of functions within college facilities or on college grounds

• Monitor and ensure safety and security standards are met for assets and facilities

• Attend regular team meetings

• Monitor and ensure electronic lockdown door system is properly functioning

• Research, test and evaluate new products, materials, indoor and outdoor equipment and new cleaning techniques to be used by the operations and grounds maintenance staff.

• Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and all who come on campus and performing the essential functions of this position

• The ability to interview and hire good quality candidates for the positions of building manager, grounds and operations

JOB SPECIFICATIONS

 

Educational Credentials

 

Bachelor's degree preferred, or significant commensurate experience

 

Work Experience

 

• Minimum 5 years progressive leadership responsibility in educational facilities management, including direct employee supervision

• High level of energy, enthusiasm, and the ability to be innovative and creative

• Ability to organize work, handle multiple tasks, and meet timelines in a multi-project environment

• Ability to work collaboratively

• Computer proficiency is required, including Microsoft Office, Groupwise, FMX (maintenance work order software), and custodial supply portal (currently Spartan) and others as required to operate the physical plant

• Self-motivated with the ability to work independently with minimal supervision

• Ability to maintain a positive customer and student oriented approach in a demanding work environment

• Strong interpersonal skills and demonstrated ability to work as part of a team

• Proven experience in working with diverse populations both with individuals and groups

• Knowledge and experience in the proper care and maintenance of floors and carpeting.

• Experience in training custodial staffs in the proper care, maintenance, and cleaning of appropriate facilities and equipment

• Experience in overseeing the set-up and tear-down of College and outside vendor event functions

• Knowledge and experience in identifying and assessing areas requiring operational maintenance within the facility

• Demonstrated knowledge and experience in overseeing safety and security issues for a facility

• Knowledge and experience in the emergency shutdown of mechanical/electrical equipment

• Demonstrated ability in assessing and ordering supplies and materials for facilities.

• Experience in reviewing and completing time and comp time sheets

• Experience in scheduling personnel for shift work, vacations, and work coverage

• Experience in working with vendors for materials and equipment, such as pest management, snow plowing, window cleaning companies, third party companies, landscaping companies, flooring installation, and events setup and teardown, etc.

• Experience in use of pallet jack, hilo (lift truck), and elevated platform work lifts, , heavy duty snow plowing equipment

• Experience in operation of different types of floor scrubbing machines

• EPS fire alarm panel training

• Possess valid Michigan driver's license

• Able to work flexible hours as directed by supervision

Physical Demands

 

• The position requires long periods of sitting, standing, walking, lifting, cleaning, scrubbing, equipment operation, and the ability to travel between campuses (Main, Tassell, Lakeshore & Devos campuses) in overseeing and managing operations work.
