The Support Professional for the Biological and Physical Sciences Department's provides essential administrative skills and support for these areas and reports to the biology department head. This position assists students, department faculty, staff, and administration on a daily basis by carrying out the essential job functions that are described below.

ESSENTIAL FUNCTIONS
• Provide high level support for administrative and instructional activities for department heads, department faculty, non-departmental faculty using and teaching in the Calkins Science Center and Associate Dean/Dean as appropriate always utilizing excellent judgment when dealing with sensitive and/or confidential information
• Greet and direct students and visitors in a professional manner, assisting with questions and concerns, answering and transferring telephone calls to appropriate staff or faculty, and accurately processing all incoming and outgoing surface mail and e-mail. Assist students in resolving questions, concerns or issues
• Carries out timely delivery of printing requests and ensures daily delivery of printed copies to department. Complete necessary printing forms for departmental materials.
• Sign for and distribute printing services requests delivered daily for faculty
• Establish and maintain a variety of accurate and easy-to-use electronic and paper files, search files and records for information as requested, effectively provide information requested
• Print transcripts, schedules and other documents, and assist students with class changes and refer them to the appropriate department as necessary
• Perform departmental registrations for students with class selection, as necessary, to ensure pre-requisites and program requirements are met
• Per approval from the department head, place course waivers/approvals on student records and notify students when completed
• Monitor the daily faculty absences and record them in PeopleSoft. Post faculty absences in the Science Building by placing notices on classroom and laboratory doors when necessary.
• Assist in finding substitute faculty to cover absences and prepare the supplemental pay forms each pay period
• Maintain and provide support for copiers in the Science Building, such as service, paper, and toner
• Order, maintain, and stock departmental and supplies for offices, classrooms, and labs. Submit purchase orders
• Present a positive and professional image and be an excellent goodwill ambassador for the department and the college
• Must be able to maintain confidentiality and possess an understanding of FERPA laws and requirements. Access and use highly confidential information through various systems
• Daily monitor, receive and distribute mail
• Monitor and request all keys for classrooms, labs, green house, offices and freight elevator along with restricted areas such as the Cadaver Lab, including Lakeshore Campus
• Assist and prepares for departmental meetings
• Type or otherwise prepare a variety of letters, memos, forms, reports, graphs and tables, such as condition of classes, class lists, and budget spreadsheets
• Maintain and monitor the budget for two departments
• Prepare and reconcile the monthly procurement report for the Biology Department and Physical Science Department
• Assist department heads and Associate Dean in making adjunct assignments
• Assist new full-time and adjunct faculty with set-up (office, keys, Raider Card, parking, materials, logins)
• Accurately update department staff listing with phone numbers and office location
• Assist with building the fall, winter and summer schedule and input it into PeopleSoft
• Monitor enrollment, caps and waitlists for all courses each semester
• Assign lecture classrooms and laboratory room space each semester for all departmental courses in CSC and the Lakeshore
• Compile and post all faculty schedules and syllabi on the S:drive each semester
• Assist in textbook selection process. Work with book reps in obtaining desk copies for new or adjunct faculty. Supply book reps with listing of faculty and their office hours each semester.
• Assist with the department advising days each semester and college wide open house
• Assist with the department scholarships and the Biology & Physical Science Student(s) of the Year award
• Assist other departmental/dean Support Staff as necessary
• Assist and work with the Biology Learning Center and Calculus and Physical Science Tutorial Lab coordinators
• Assist with special department functions (lecture series, talks, guest speakers, Community STEM Day)
• Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.

JOB SPECIFICATIONS
Educational Credentials
• Associate's degree or comparable combination of relevant education and experience
Work Experience
• A minimum of 1 year of clerical and administrative assisting experience required
• Prior experience working in higher educational settings, preferably in student support services, or comparable relevant experience preferred

• Must be punctual with a good attendance record and have the ability to accommodate a flexible work schedule, including evenings and weekends as needed.
• Departments are located on 4 floors of the Science Center
