SUMMARY

 

The Tassell MTEC Support Professional will provide direct services to students interested in and enrolling in programs at the Tassell MTEC, as well as provide departmental administrative support for specific processes required for successful student completion. This position requires a high level of customer service, demonstrated consistency in follow up and follow through on details, and the ability to multi-task. Regular communications with students, colleagues and faculty through various means such as e-mail, phone call, classroom visits, and face to face conversation is expected. This role works with multiple departments on campus including Financial Aid, Cashier, Records, MTEC Faculty, Academic Advising, Disability Support Services and Enrollment Center and Customized Training.

 

ESSENTIAL FUNCTIONS

 

• Support and organize all activities for non-degree programs for the Tassell MTEC, including weekly information sessions, orientations, tours, EXIT Advising Sessions, and graduations

• Greet and direct visitors, students, members of the College, and the public, and respond appropriately to requests for information

• Assist all prospective and current students with GRCC admissions and enrollment processes by providing next steps

• Assist students with the use of technology to obtain and submit information, utilization of the Online Student Center, such as applications, FAFSA on the Web, financial aid acceptance process, personal data, drops/adds/withdrawals, change in major, or unofficial transcripts

• Process application and registrations in PeopleSoft, Continuity or other enterprise systems for admissions and enrollment in Job Training, Workforce Training, Continuing Education and Professional Development and Customized Training

• Schedule and coordinate programmatic assessments for prospective students and record data in enterprise systems

• Using College enterprise systems (e.g. PeopleSoft, Continuity), scheduling of all Job Training classes per the direction of MTEC Managers

• Process and Report Satisfactory Academic Progress (SAP) to financial aid by coordinating information through faculty and operations

• Maintain trainee records, student/organizational IDs, and prepare training certificates for Customized Training

• Serve as the primary School Certifying Official (SCO) for Tassell MTEC Veteran Affairs participants, including basic Veteran Affairs information, enrollment assistance, processing of claims, and maintenance of accurate and detailed files

• Prepare and disseminate faculty evaluation forms for programs

• Support MTEC Managers with annual department strategies for marketing, recruitment, enrollment, and placement

• Complete Ending Enrollment reporting, which includes preparation and mailing of certificates, processing final SAP (Satisfactory Academic Progress), data recording and end of course metrics for Job Training

• Receive and process Emergency Assistance and Transportation Applications

• Take effective meeting notes, accurately transcribe, and distribute and file accordingly

• Accurately update or assist with development of various departmental, public, or internal process and operations documents

• Operate an efficient office and perform general office duties by maintaining general and confidential files, writing general correspondence, schedule meetings, answer phone calls in a courteous, friendly, timely and professional manner, sort and disseminate mail, and coordinate calendars and work schedules

• Maintain accurate records, files, and office activities with strict standards of confidentiality

• Generate reports as required using Microsoft Office software or enterprise systems, both weekly and monthly

• Attend training deemed essential for staying current on all aspects of position

• Supervise student employees, including hiring, scheduling, training, evaluating, and prioritizing their activities when necessary

• Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.

JOB SPECIFICATIONS

 

Education Credentials

 

• Associate's degree or comparable combination of relevant education and experience

 

Work Experience

 

• A minimum of two years of administrative, customer service, or similar work experience required

• Working knowledge of Windows, Microsoft Office (Word, Excel, Access, PowerPoint), various email systems (Gmail), and PeopleSoft preferred

 

Skills

 

• Proficiency in interpersonal, verbal, and written communication skills

• Excellent organizational skills; ability to prioritize and complete tasks within assigned deadline

• Possess demonstrated initiative and problem-solving abilities

• Ability to proofread accurately
