SUMMARY

The Associate Director of Admissions and Enrollment leads the design, development, implementation, and assessment of all aspects of new student recruitment operations. This position directs, establishes, and monitors cross-college enrollment-related collaborations to meet enrollment goals and provides leadership for building enrollment-related community partnerships. The Associate Director provides crucial input on the college's overall strategic enrollment and retention plan, with an eye toward anticipating emerging enrollment trends and expanding access and enrollment services for K-12 students and underserved populations. This role and the operations it leads are critical to meeting the college's short- and long-term enrollment goals.

Primary responsibilities include, but are not limited to, the oversight of all day-to-day admissions-related processes and the hiring, supervision, scheduling, training, setting of performance goals, and evaluation of full- and part-time admissions staff and student employees; planning, estimating, and oversight of recruitment-related budget expenditures; enrollment tracking and metric analysis; planning and coordination of in-person and virtual admissions events; and the development of new multilingual digital and print recruitment materials, programs, and social media in coordination with Communications.

The Associate Director of Admissions and Enrollment makes recommendations and actively participates in the enrollment goal setting process. This position has direct accountability for the development and implementation of innovative ideas, actions and initiatives designed to meet these goals. This position will oversee the experience of prospective student lifecycle from applicant to admitted and enrolled. This includes on and off campus recruitment, the admissions technical process, guidance meetings and connections and new student orientation. Focus will be on the different aspects of this lifecycle and this position will ensure the highest quality of work and experience for the stakeholders we serve. Additionally, the Associate Director ensures the Admissions team consistently meets accountability measures and delivers excellent customer service and timely and personalized information to help students apply and enroll at GRCC's various campus locations.

ESSENTIAL JOB FUNCTIONS

• Oversee day-to-day admissions-related operations and supporting processes.
• Directly supervise, schedule, train, establish performance goals, and evaluate full-time admissions and enrollment coordinators and part-time admissions assistants.
• Hire, train, supervise, and evaluate student leaders to serve as peer admissions ambassadors, and coordinate their support of outreach and recruitment initiatives, such as high school visits, college events, campus tours, phone call campaigns, etc.
• Provide leadership in the design, development, implementation, and assessment of all aspects of new student recruitment planning with specific emphasis on enrollment services for k-12 students and underserved populations.
• Develop leading-edge recruitment strategies and initiatives in coordination with the Assistant Director of Adult Recruitment and Community Outreach, Associate Director of RJF Services, and Associate Deans. Implement, set staff accountability measures, document, and assess these strategies.
• Identify emerging recruitment trends, opportunities, and necessary adjustments to strategies and apprise the Associate Director of RJF Services and the Associate Deans of Enrollment Management and Financial Aid and Student Affairs.
• Lead and oversee the prospective student outreach efforts of the Admissions and Enrollment Coordinators and Admissions Assistants at GRCC's various campus locations and designated recruitment sites (high schools, college fairs, community organizations, etc.). Participate in events as needed.
• Direct and lead collaborative efforts and form partnerships with other campus departments and outside organizations to schedule, plan, and implement prospective and new student initiatives and connections, campus tours, and group visits, as well as annual Fall/Spring open houses, high school professionals breakfasts, and other new events.
• Provide leadership in building enrollment-related community partnerships to serve and strengthen connections with the community.
• Proactively design and advance inventive initiatives to reduce summer enrollment melt. Recommend goals. Identify resource needs. Hire, train, supervise, and evaluate staffing to accomplish enrollment objectives. Analyze and assess outcomes to inform future strategies.
• Plan, coordinate, and maintain a master schedule of all high school visits, in-person and virtual college events, and other recruitment-related functions, track participation, and evaluate outcome metrics.
• Recommend ideas and collaborate with Communications to develop leading-edge multilingual digital and print recruitment materials, programs, and social media on an on-going basis.
• Oversee the creation and implementation of new multilingual presentations, customized as needed for various programs and audiences.
• Provide information and confidential admissions advising to prospective students and their parents through both in-person and virtual admissions specialist appointments and campus recruitment events.
• Deliver financial literacy and college financial planning information and formal presentations to prospective students, parents/guardians, and community partners.
• Supervise, train, support, set performance goals, and evaluate the efforts of the International Admissions Recruiter. Serve as a designated school official (DSO) for the Student and Exchange Visitor Program (SEVP). Act as a liaison and troubleshoot and assist with related international admissions processes as needed.
• Supervise, schedule, train, support, set performance goals, and evaluate the efforts of the Lakeshore Campus Admissions and Enrollment Coordinator to ensure that enrollment goals are consistently met and student access strategies and supports are aligned with Lakeshore community needs. Coordinate as needed with the Executive Director of the Lakeshore Campus to successfully accomplish this work.
• Establish and maintain a strong partnership with Training Solutions, Job Training, and other campus sites to create a seamless intake process for all GRCC students' credit and non-credit.
• Administratively lead the use of Customer Relationship Management (CRM), Acuity, Mongoose, Navigate, and other recruitment and scheduling software systems to support and meet enrollment goals. Troubleshoot technical issues and identify and implement solutions.
• Plan, estimate, and oversee budget expenditures for recruitment and enrollment activities and initiatives.
• Collect and assess the success of recruitment strategies and initiatives, as well as applicant, matriculant, and enrollment conversion data on a weekly basis. Proactively use this data to guide strategic initiative planning and implementation, resource allocation, and process improvements. Run PeopleSoft queries and other reports as needed to ensure accuracy of data and other relevant information.
• Prepare weekly reports. Provide information and recommendations to the Associate Director of RJF Services and the Associate Deans.
• Identify and address enrollment barriers and inequities with proactive collaborations with cross campus departments. Recommend solutions for systemic improvements.
• Support general Enrollment Center functions, specifically during peak times.
• Support and administer offsite academic placement testing sessions, as needed.
• Assist and support new student orientation programming, as needed.
• Attend professional development conferences, seminars, workshops and webinars to stay abreast of current trends and best practices in admissions and enrollment management.
• Actively participate in college committees representing the Admissions and Enrollment Management team.
• This role is a Campus Security Authority (CSA). CSAs will be trained and responsible for reporting Clery Reportable Crimes to Campus Police as required by the Clery Act.
• Regular attendance during normal scheduled hours is required. Being present is essential for serving customers and performing the essential functions of this position.
• Performs other related duties as assigned.

JOB SPECIFICATIONS

Education Credentials

• Master's degree required.
• Fluency in Spanish and/or other languages preferred.

Work Experience

• Minimum of five years of higher education admissions/enrollment management experience required.
• Minimum of three years of prior supervisory experience required.

Skills

• Demonstrated knowledge and extensive software application experience, specifically Microsoft Office Suite, Blackboard, student information systems (preferably PeopleSoft Campus Wide Information System), CRMs, Navigate, and texting platforms.
• Must possess excellent customer service skills and knowledge of admissions/enrollment management best practices.
• The ability to exercise good judgment in handling sensitive information, maintain confidentiality, and fully understand and comply with FERPA laws and requirements.
• Excellent public speaking skills

Physical Demands

• Must be able to lift and move 30 pounds of recruitment materials.
• Must have reliable transportation, and drive to various locations in the West Michigan region.

Working Conditions
